TECHNICAL INFORMATION FOR SPEAKERS
Referring to your participation in the forthcoming event “9th ISHS International Strawberry Symposium (ISHS-ISS2021), which will be held from May 1st to May 5th 2021, please find here below some technical information:
Each faculty member shall have available:
- PC or Mac, slightly raised from the table if possible, with a stable internet connection (5 Mbit/sec in upload). Please, before starting, make sure to TEST the connection speed and quality of your device through one of the following common speed test website:
- Supported browser: Google Chrome 83+; Firefox 78+; Edge 83+; Safari 13+ – NO: Internet Explorer.
- Earphones with microphone (in order to avoid the echo effect)
- Webcam (external or integrated)
It is advisable to have a location provided with natural daylight (please try to avoid windows behind you).
A “general trial” of your presentation is foreseen, where you will be connected remotely one-to-one with a dedicated technician. This is why it is important that the test is carried out from the same location and using the same equipment you plan to use during the live event.
The purpose of the test is:
- Verify internet connection and equipment
- Get familiar with the web platform
- Test your presentation
No registration is foreseen. You have to register your backup video following the instruction appended here below and send it to firstname.lastname@example.org.

Technicians are available for testing from 15 March 2021 up to 15 April 2021, from hrs. 15:00 to hrs. 20:00 UTC +1 CET Rome

PREPARING YOUR INTERVENTION
Your presentation can be realized in the formats listed below:
- pptx (Microsoft Office PowerPoint);
- key (Keynote for Mac)
Each pptx or key presentation, with embedded videos, should be produced in 16:9 landscape format (horizontal) only.
PRESENTATION DURING LIVE EVENT
Intervention shall be led from the same location, using the same equipment during the technical test.
Please remember that each Speaker should be connected 60 minutes before the beginning of the Session.
Further details and information about your intervention during the Live Event will be communicated by the technicians during the test.
Time for presentation: 13 minutes + 2 minutes for discussion
ON DEMAND AREA
Recorded video of your presentation will be available in the On-Demand library on the Website of the Virtual Event. It will be accessible, without any charge, from May 1st, 2021 to May 1st, 2022, by all the Faculty Members and participants regularly registered to the meeting, by using the same access code you will receive to attend the meeting online
If you have no objections about it, you will have to sign the copyright clearance document form which will be available in the next days and send it back by email.
TECHNICAL INDICATIONS FOR AUDIO VIDEO SLIDE RECORDING
This document is intended as a concise guide for recording audio video contributions with PowerPoint or Keynote presentations.
It will be possible to register in total autonomy.
Please click HERE to download a video tutorial with step by step instructions for using the software. In case of difficulty it will be possible to write an email to email@example.com leaving your references (Name, Surname, telephone number, email) and a brief description of the problem encountered so as to be contacted by a specialized technician.
-From the browser (use of google chrome is preferable) access the following address: https://zoom.us/
-Click on Sign up it’s free (orange button)
-Enter your date of birth and click on continue.
-Enter your e-mail address and click on sign up.
-You will receive an e-mail to activate your account. Click on Activate Account: a browser window will open in which to enter your data, name, surname and you will be able to choose a password to associate with the account.
-At the end of the procedure it will be possible to start your meeting by clicking on “Start Meeting Now”.
-The system will invite you to download or open if the zoom.us software is already present in the system
–Opening the software will show a black screen with the name indicated during registration and a bar at the bottom with a series of buttons.
-Click on start video to activate the webcam and check that the microphone is active (microphone button with “mute” written)
-Before sharing your screen, you need to open the presentation in keynote or PowerPoint.
-Then click on the green “Share screen” button.
-Select the desktop screen and then returning to PowerPoint or Keynote go full screen with the presentation.
-At this point it will be possible to start recording (the zoom menu will have moved up) click on “more” (button with three …) and then on record.
-At the end of the recording, exit the presentation and click on stop record.
–To allow zoom to finalize the recording it will be necessary to finish the meeting by clicking on end meeting; end meeting for all (red buttons)
-Zoom will convert the video only by exiting the application. Close the application and wait for the conversion of the video that will be saved in the documents folder; zoom; date and time of the recording – meeting name.
–The file will be called zoom_0.mp4 and can be sent with WeTransfer or other system to the email firstname.lastname@example.org
Please send the video to email@example.com no later than March 31st, 2021. This time is needed to editing the video. Videos received after this date won’t be edited and, in case of need, will be passed exactly as received.
It is important that the PowerPoint or keynote presentation has a space for positioning the camera so as to avoid covering important concepts present at that particular point of the slides. This space should be left on the top of the slide on the righthand side
Please avoid background noise while recording and use a background as much neutral as possible.
